    Overview

    The Senior Payroll Specialist provides services to Hope support recipients through their work in performing a variety of preparatory and quality assurance duties in the Payroll department to assure timely processing of employee timecards, payments, and required Federal and State reporting. This position provides timely and accurate reports for distribution to directors and supervisors to assist with identifying training needs.  The Senior Payroll Specialist possesses the knowledge and skill competency to serve as the primary contact for the Payroll department and acts as an advisor and trainer to the Payroll Specialist. This position performs job duties with a high degree of accuracy, independence, confidentiality and professional judgment. The Senior Payroll Specialist maintains loyalty to the organization, its beliefs, values, mission, vision, and expectations and to the recipients of services.

    Responsibilities

    • Maintains and updates the electronic timecard system used by the Agency to ensure timely processing of employee timecards and bi-weekly payroll processing. 
    • Provides regular reports to directors and supervisors for timecard corrections and identifying specific training needs, including reporting employees who are required to submit manual timecards.
    • Identifies system improvements and make recommendations on systems and procedures being utilized to the Accounting Manager. Updates and maintains Payroll User Manual.
    • Completes thorough testing in Kronos and Great Plains test environments for troubleshooting of issues, scheduled system upgrades, and changes to interfaces, processes, etc.
    • Prepares tax payments by collecting and verifying data; preparing federal and state tax reports and W2 statements; and remitting payment within required timelines.
    • Reports any risks to the Agency associated with potential fees and/or penalties by the Internal Revenue Service or other tax entities to the Accounting Manager and Chief Financial Officer (CFO).
    • Balances payroll accounts by auditing information, identifying and resolving discrepancies, and initiating journal entries. 
    • Conducts any reviews or tasks requested by Executive Management, to assist with independent reviews and internal audit functions to ensure interdepartmental alignment.
    • Adheres to all Agency Standard Operating Procedures related to the payroll function.

    Qualifications

    Required:

     

    • Bachelor’s degree in Accounting or related field required. Experience in lieu of education may be accepted on a two for one basis in appropriate fields.
    • Three years of experience in payroll preparation of least a 500-employee payroll required.

     

    Other:

    • Possesses a valid Alaska Driver’s license and has at least three years of driving experience (may include permit time). Obtains a driving record at time of employment, annually thereafter, and as requested by management.  
    • Ability to safely operate Agency vehicles when needed. Possesses reliable transportation and vehicle insurance when transporting support recipients or conducting Agency business.
    • Meets State and Agency requirements for passing a criminal background check upon hire and as required thereafter.
    • Lifts 25 pounds from a squat and kneel position on the floor.
    • Works at desk/computer workstation for a minimum of six (6)  hours per day.
