    The Scheduling Specialist provides administrative support to the scheduling function for Anchorage Departments. This includes providing support to Anchorage teams in identifying vacant positions and open shifts to fill with on-call staff, On Demand Support staff, and staff seeking hours. The Scheduling Specialist acts as the liaison between Human Resources and staffing supervisors to ensure personnel needs are effectively met and personnel resources are fully utilized. The Scheduling Specialist is responsible to understand the unique staffing needs for Anchorage  including regular and intermediate support level needs, and maintains functional authority over scheduling conflicts that may arise across various departments. This position works in coordination with supervisors to assure staff are cross trained as necessary to provide coverage in a manner that is safe, efficient and supports all shifts required; including weekend and overnight needs.


    1. Assures staff are scheduled within the Agency authorized scheduling tool. Supports Supervisors with data entry into scheduling software.
    2. Completes data entry into designated scheduling system in a timely manner, with accuracy and efficiency. Collaborates with program supervisors to ensure all relevant data is submitted according to established deadlines and ensures receipt and entry of all data received.
    3. Schedules staff in alignment with service delivery requirements.
    4. Assists in re-assignment of staff due to natural fluctuations such as staff sick leave, vacation leave coverage etc. Re-schedules staff and arranges for supplemental coverage as needed to ensure services are delivered as requested.
    5. Promptly notifies staff and supervisors of schedule changes or adjustments.
    6. Receives and reviews requests for assignment of staff and responds according to established policies. Maintains functional authority over scheduling conflicts that may arise across departments.
    7. Ensures appropriate services are provided by maximizing the use of available staffing resources. This includes ensuring coverage occurs for schedules across a seven day work week. Runs reports and reviews data, metrics, and Mission Critical markers, through the utilization of Agency tools.
    8. Collaborates with HR and supervisors to identify personnel needs for recruitment and retention of staff.
    9. Coordinates part time placement schedules to maximize the greatest amount of full-time, benefit eligible positions within the Agency.
    10. Meets with supervisors regarding staffing needs and collaborates with the Human Resources department to plan and respond accordingly to effective talent management and staffing levels in order to maximize use of Agency personnel resources.
    11. Monitors and ensures direct report staff are scheduled in environments where they are currently trained, including home and support recipient specific trainings, as well as are in compliance with employment related documents to work in their assigned environment(s).




    1. Bachelor’s degree in Business Administration or related field required. Experience may be substituted in lieu of education on a two for one basis.


    1. Two years’ of experience held in a scheduling, logistics, project management, or supervisory position required.


    1. Possesses a valid Alaska driver’s license and has at least three years of driving experience (may include permit time).
    2. Meets State and Agency requirements for passing a criminal background check upon hire and as required thereafter.
    3. Lifts 25 pounds from a squat and kneel position on the floor.
    4. Obtains a tuberculin clearance at time of employment and annually thereafter.
